Employee Archive Utility in Dynamics GP 2016 Part 1

In todays post we are going to look at using the Employee Archive utility inside of GP 2016.  This utility is really handy and will allow you to delete the inactive employee from GP thus eliminating scrolling through old employees.

To locate the tool click on Microsoft Dynamics GP > Tools > Utilities > Human Resources > Archive Employee

This will bring you to the following window shown below.

Select the employee you wish to archive and then click save.

You want to say no!  The reason is that resource that is checked out to Carol will be forever lost and you really don’t want that. To resolve this open up the property windows under Cards > Human Resources > Employee > Property

Type in the Check In date and close the window by clicking the red X at top right.

Now repeat the steps above and you will have archived the employee.  The next thing we need to do is delete the employee record from the system.

So in the image above I checked the inactive button.  Then I deleted the record.

So now we can fully see that Carol is no longer in our lookup window.  Really handy stuff right?  What happens when business turns around and you need to hire her back.  That is where this becomes handy.  Instead of creating a record again just retrieve the archived data.
